Proofreader - Day Shift - New York, New York - Salary to $70K base - Law Firm

Legal Proofreader
LOCATION: New York, NY – Midtown Manhattan
DAYS/ HOURS: 4 Day (Thursday – Saturday, 10:00 am – 8:00 pm and Sunday 11:00 am – 8:00 pm)

SUMMARY: The Proofreader will be responsible for reviewing and proofreading both legal and non-legal documents generated by the Document Processing Department, as well as from outside the Firm, for spelling, punctuation, diction and syntax.
KEY RESPONSIBILITIES:
  • Proofread documents for Firm style, spelling, diction, syntax, punctuation, and grammatical errors
  • Use standard proofreading marks to show what changes must be made on a document
  • Compare original documents with revised documents to ensure that requested revisions were performed
  • Communicate with attorneys regarding specific requests and deadlines
  • Close reading of documents for the Firm’s style, spelling, usage, consistency, punctuation, typographical and grammatical errors
  • Perform manual redlining
  • Check revised documents against markups to ensure that requested revisions were input accurately
  • Enter job status information in an online database
  • Scan proofreader markups to PDF
  • Keep supervisor informed of the status of work requests
  • Answer grammatical questions
REQUIRED SKILLS:
  • 2+ years of experience as a legal proofreader or directly related equivalent experience devoted to proofreading
  • High comfort level with text-based documents and legal terminology
  • Advanced knowledge of spelling and grammar
  • Knowledge of proofreading best practices
  • Proficient knowledge of MS Word and basic knowledge of MS Excel
  • Ability to clarify job instructions
  • Ability to work well under pressure both individually and as a member of a team

  • Run searches on IP holdings (registered trademarks, patents, registered copyrights, domain names) and IP-related litigation

  • Arrange for the legalization of assignments for recording in foreign trademark and patent offices
  • Draft instruction letters to foreign associates regarding recording assignments in their countries
  • Correspond with foreign associates and communicate with seller’s and buyer’s IP counsel or in-house contact to obtain necessary documents and information for recording assignments
  • Monitor and maintain trademark prosecution docket for due dates, for responses, maintenance filings, renewals, oppositions and cancellations
  • Draft trademark/service mark applications, affidavits of use, maintenance and renewal filings, and assignment agreements
  • Draft responses to trademark examining attorney’s official action
  • Communicate with foreign trademark counsel and agents regarding registration and maintenance matters
Qualifications:
  • 10+ years Paralegal experience in Trademark Prosecution required
  • Bachelor’s Degree strongly preferred 
  • Knowledge of USPTO and TTAB rules, and familiarity with international trademark filing procedures, drafting correspondence, and conducting due diligence reviews of intellectual property

  • Perform client billing and collection activities for assigned clients in a timely manner

  • Verify client-specific rate accommodations and if necessary, apply approved discounts to the face of the invoices; keep track of volume discounts based on thresholds reached
  • Pull back-up of costs to include with final invoices based on a client’s billing requirements
  • Generate billing variance reports and write-off reports; acquire appropriate write-off approvals based on write-off amount thresholds
  • E-Billing and prepare electronic invoices in LEDES; submit electronic invoices to clients via their designated electronic billing system and verify successful submissions
  • Establish working relationships with e-billing site vendors; make certain all timekeepers and rates are up-to-date on the sites; submit timekeepers and rates for approval as needed
  • Ensure three-way communications between e-billing site, client and the Firm (as the e-billing site processes invoices based on the Clients’ Outside Counsel Billing Guidelines)
  • Track status of bills submitted, identify issues, and work to address rejections and reductions as they arise
  • Monitor payment of assigned clients’ accounts receivable and coordinate collection efforts
  • Collaborate with Billing and Collection Committee members and/or Financial Managers to coordinate billing and collection efforts
  • Provide assistance to partners and clients regarding outstanding and/or short paid invoices
