Summary: The Billing Coordinator is responsible for the completion of all facets of the billing and collection function. Responsibilities include working with the Billing Manager, Senior Billing Coordinators, and/or partners to proactively administer their billing responsibilities, preparation and processing of timely and high-quality invoices, and monitoring and follow-up on outstanding receivables. Essential Functions:
  • Perform client billing and collection activities for assigned clients in a timely manner
  • Monitor aging of unbilled fees for assigned partners and/or clients
  • Monitor and manage outstanding accounts receivable, unapplied funds and collection efforts
  • Meet with the Billing Manager, Senior Billing Coordinators, and/or partners to discuss monthly billing, outstanding invoices and strategy for collections
  • Generate Proformas for each assigned partner at the beginning of each month, after the time entry deadline
  • Prepare billing packages for each assigned partner (i.e. draft cover letters, invoices, etc.)
  • Review Proformas for misallocated time and ensure time entries are in accordance with client policy
  • Communicate new/changes in client policies to timekeepers
  • Edit draft invoices based on partners’ mark-up, including: Write-offs, in accordance with firm policies/procedures
  • Time/cost transfers; investigate the appropriateness of where entries should be billed
  • Time entry narrative changes with respect to additions, corrections, deletions
  • Verify client-specific rate accommodations and if necessary, apply approved discounts to the face of the invoices; keep track of volume discounts based on thresholds reached
  • Pull back-up of costs to include with final invoices based on a client’s billing requirements
  • Generate billing variance reports and write-off reports; acquire appropriate write-off approvals based on write-off amount thresholds
  • E-Billing and prepare electronic invoices in LEDES; submit electronic invoices to clients via their designated electronic billing system and verify successful submissions
  • Establish working relationships with e-billing site vendors; make certain all timekeepers and rates are up-to-date on the sites; submit timekeepers and rates for approval as needed
  • Ensure three-way communications between e-billing site, client and the Firm (as the e-billing site processes invoices based on the Clients’ Outside Counsel Billing Guidelines)
  • Track status of bills submitted, identify issues, and work to address rejections and reductions as they arise
  • Monitor payment of assigned clients’ accounts receivable and coordinate collection efforts
  • Collaborate with Billing and Collection Committee members and/or Financial Managers to coordinate billing and collection efforts
  • Provide assistance to partners and clients regarding outstanding and/or short paid invoices
  • Communicate situations as they arise that may require follow-up, such as rate issues, delays in billing, difficult requests, etc.
Requirements:
  • Bachelor’s Degree in Accounting, Finance, or Business
  • Related Billing experience in a law firm or professional services company
  • MS Office with emphasis on Word and Excel
  • Elite 3E Electronic Billing Systems experience a plus. The firm will cross-train a person with solid related legal or professional services billing experience.

Key Responsibilities:
  • Provide administrative support, such as answering/screening calls, organizing documents/rooms, sorting mail, reserving conference rooms and other logistical items, and direct employee questions to the proper HR team member. 
  • Partner with the team in the on-boarding of legal and other staff and assist with other duties including developing orientation packages, annual open enrollments, planning events, etc.
  • Provide data entry assistance into insurance provider web portals and internal HRIS system for new hire benefit plan enrollments, employee terminations, changes, and designating beneficiaries.    
  • Put together and distribute COBRA packages to employees being terminated; keep track of the enrolled participants and maintain logs of payments and activities.
  • Prepare and distribute required disclosures to new hires as applicable by law and maintain the corresponding log. 
  • Assist the HR Manager with Corporate Wellness events and activities.
Qualifications:
  • Bachelor's Degree preferred
  • 2+ years of fast-paced administrative assistant experience in legal or finance
  • Microsoft Office proficiency
  • Strong verbal and written communication skills, good judgement, highly organized, and strong attention to detail are required
  • Must be able to multi-task, maintain confidentiality, and act as a team player

Help Desk Supervisor - 12pm to 8pm - Midtown, Manhattan - Top Law Firm - $120K base, plus paid overtime


Systems Analyst Supervisor - Help Desk
Law Firm Experience Required 
Monday-Friday, 12pm-8pm

Summary: Top-ranked multinational law firm is seeking a Systems Supervisor to serve as an integral member of the Firmwide IT Department to ensure the efficiency and success of the legal and administrative staff within the Firm.

Responsibilities:
  • Establish schedules, set priorities and provide guidance and support to help desk staff 
  • Provide coaching to team members on performance, operational procedures and techniques for troubleshooting various technologies
  • Complete employee performance evaluations and recommend various salary actions
  • Ensure that IT Help Desk services are being operated in an efficient manner across the Firm
  • Manage help desk ticket requests using Service Now and make sure that each is responded to promptly
  • Act as a representative of the IT Help desk when responding to assistance requests
  • Troubleshoot, identify, and research IT issues and interface with staff via telephone or in person
  • Monitor active and resolved IT support issues/tickets and check for whether they need to be escalated to a higher level support staff and create or update articles through Knowledge Base to act as a resource for other IT staff members

Requirements:
  • Bachelor's Degree required
  • 5+ years experience providing telephone-based IT support and/or desk-side technical support
  • Supervisory experience is a must as well as experience working in a Law Firm
  • Microsoft Office application suite exposure, as well as iManage, Payne, Workshare, DocXtools, SMS, Micorsystems, Litera
  • Strong knowledge of PC systems and MAC systems (desktop and laptop), as well as wireless devices and printer hardware
  • Previous experience supporting mobile devices or with Mobile Device Management platforms (Airwatch)
  • Previous experience with entering and tracking tickets in an incident management system (Service Now)
  • Knowledge of VOIP technology telephone system
  • Previous experience with Active Directory
  • Wireless device support (Blackberry, Droid, iPhone, iPad, etc)
  • Remote help desk support experience (RDP, VPN, Citrix, etc.)
  • Knowledge of Video Conferencing systems
One or more of the following certifications is a plus:
